Privacy notice

The facility operator is not yet configured for public operation. This notice covers accounts, notarization, identity verification, payments and record requests.

What we collect and why

We process account and contact details, documents, addresses, representative authority, signatures, identity particulars and review history to authenticate participants and perform the requested notarial act. Every principal and witness uses an individual account. Didit processes identity document images, a selfie, liveness and face matching with your consent; the assigned notary also reviews the result.

At session entry we check your location, your declared address and IP-based country and VPN/proxy signals using IPinfo. We retain the location evidence and a keyed network identifier. LiveKit provides the video session. Recording occurs when a principal requests it, with notice to everyone. PayMongo provides hosted payment checkout; card or wallet credentials are handled by that provider.

Who can access the information

Each participant can access their own identity evidence. The assigned notary and authorized operators can access evidence needed for their duties. Participants view the shared document and signed book entry. Principals, the assigned notary and authorized operators can download a completed requested recording. A person seeking other book records must submit an identified, signed request for the notary’s review.

Notarial records, corresponding documents and required account or credential particulars are disclosed to the Supreme Court and other lawfully authorized recipients under the applicable rules and approved sharing arrangements. Provider processing and storage locations must be documented in the operator’s privacy program and agreements.

Retention and security

Signed documents and statutory book particulars remain through the commission and any longer Court direction, including legal holds and surrender obligations. We do not automatically delete books when a commission expires. Identity-image retention after closure: pending the operator’s approved policy. Recording retention after closure: pending the operator’s approved policy. Holds can extend retention. Provider and backup copies follow the documented disposal procedure.

Private evidence is encrypted, access is restricted and audited, and the book is duplicated and backed up. You may decline consent before proceeding; the remote act cannot proceed without required identity and session checks. You may contact the operator to request access or correction, raise an objection, withdraw applicable consent or report an incident. Statutory preservation duties may limit erasure of notarial records.

Public verification

Verification displays the reference, type of act, notary identity, commission, completion time, document and book hashes, and status. It does not publish the document title, document content, participant names or identity numbers. A file-hash check runs in your browser.

Contact and complaints

The operator must publish its DPO contact and registration before public use.

You may also raise privacy complaints with the National Privacy Commission.
